CallMerlin operational memory is Merlin’s memory of relevant customers, companies, deals, invoices, tickets and orders that your team already looked up or changed with approval via chat or voice. The next session starts with that context, so you spend less time looking everything up again. It is not a search engine over Slack, Drive or mail, and not a dump of every file in the company.

What operational memory is

While you work through CallMerlin, Merlin quietly keeps track of the operational records that mattered: who the customer is, which deal or invoice you touched, which ticket or order came up. That memory stays with the account. Colleagues with the right PIN permission can reuse it later, still within their own rights.

  • CRM: contacts, companies and deals you already opened or updated
  • Finance: relations and invoices from earlier actions
  • Support: tickets or conversations Merlin already handled with you
  • Store and orders: customers and orders from earlier lookups or changes

Memory only grows from work your team already did in CallMerlin. There is no separate upload of your whole business, and no continuous copy of every system you connected.

What it is not

  • Not a full index of Slack, Drive, mail or GitHub
  • Not memory for AI keys, social posts or hosting panels
  • Not a bypass of PIN rights: each employee only sees what they may see
  • Not a silent write to your live tools: approvals still apply before changes

  • Sales: “What do we already know about bakery Jansen?” Merlin recalls the contact and the open deal from earlier work.
  • Finance: “Did we recently look at invoice 3821?” Merlin points back to that invoice without restarting from zero.
  • Support: a colleague continues a ticket Merlin helped with yesterday, with the right customer and ticket already in view.
  • Ops: an order you checked last week comes back in the next chat when you mention the customer.

Rights and plans

Operational memory is available on Professional and higher, including trial. Starter has no org memory. Account admins can turn it on or off under Settings. The PIN right Search operational memory via chat/voice is on by default for new PIN users. Without that right, that PIN sees no operational memory, even if the account toggle is on.

Vs knowledge base and learned facts

  • Operational memory: customers, deals, invoices, tickets and orders from earlier ops actions
  • Knowledge base: documents and playbooks you upload or publish for Merlin to search
  • Learned facts: short personal preferences or notes per PIN from conversations

Use the knowledge base for procedures and uploaded material. Use learned facts for small personal habits. Use operational memory when the next chat should already know which customer or invoice you touched before. Cases remain the shared dossier when work must move between people with notes and files.

Enterprise search finds documents across chat archives, drives and mailboxes. CallMerlin is an execution layer: read, approve, act, then remember the operational records that mattered. The two products complement each other. Operational memory does not replace a company-wide document graph, and it does not claim to.

What is CallMerlin operational memory?

It is Merlin’s account-level memory of customers, companies, deals, invoices, tickets and orders that were earlier handled via CallMerlin chat or voice, so the next conversation starts with useful context.

Does Merlin index all my Slack and Drive files?

No. Operational memory does not ingest your full Slack, Drive or mail. Connections outside CRM, finance, support and orders still work as tools; they simply do not feed this memory.

Who can see operational memory?

Only PIN users with the right Search operational memory via chat/voice, and only within the permissions of that PIN. Writes to live systems still need approval.

How is this different from the knowledge base?

The knowledge base holds documents and playbooks you provide. Operational memory holds operational records from work already done through Merlin. Learned facts are short personal notes per PIN.

Which plans include it?

Professional, Business, Enterprise and trial. Starter does not include org memory. Limits scale with the plan; when the limit is reached, new records are skipped without breaking the conversation.
