Workflow Discovery: Weekly Automation Proposals in Slack

CallMerlin reviews weekly signals from your account and proposes up to 3 concrete workflow drafts in Slack. Opt-in, never auto-executed, you decide what goes live.

Most teams know they could automate more. They just lack the time to spot patterns across open tasks, alerts, connections and what colleagues discuss in Slack. Workflow Discovery does that work for you: once a week, up to three proposals, always as drafts. You choose what to activate.

What is Workflow Discovery?

Discovery is an opt-in feature on Business, Enterprise and during trial (max 2 Discovery runs). CallMerlin collects read-only signals from your account, lets AI evaluate patterns and sends the best proposals to Slack. No workflow ever starts without your explicit approval.

The problem Discovery solves

  • You connected Moneybird, HubSpot and Slack, but nobody builds the bridge workflow.
  • The same alert or task comes back every week without a fixed routine.
  • Someone says in Slack 'we should automate this' and the idea disappears in the thread.
  • The Workflow Builder is open, but a blank canvas feels intimidating.

Discovery fills that gap: concrete proposals based on what already happens in your account, not generic tips from a blog post.

Which signals does CallMerlin review?

Discovery only looks at what matters for automation: your tasks, alerts, connections and recent activity in CallMerlin. Optionally, if you configure it, a small sample from one Slack channel. Everything is read-only. Nothing runs automatically.

  • Tasks and existing workflows (active, draft or paused).
  • Alert rules and which providers they monitor.
  • BYOK connections and their status.
  • Hints from recent call logs and AI insights.
  • Optional: brief context from one Slack channel you specify.

Without a configured Slack channel, Discovery uses only your CallMerlin account. Discovery never reads your entire Slack workspace at random.

What you get each week

Discovery runs at most once a week, only if you enabled it and have not received a message yet this week:

  • CallMerlin looks for patterns in your account: recurring tasks and alerts, which connections you have, where manual work keeps piling up.
  • Based on that, AI formulates up to three concrete workflow ideas, each with a short explanation why.
  • Before anything goes to Slack, CallMerlin filters: no duplicate proposals, no vague ideas, maximum three per week.
  • You receive one Slack message with buttons per proposal. You decide what becomes a draft.

What you see in Slack

Per proposal you get a short title, why CallMerlin suggests it and three actions:

  • Create draft: saves a workflow with draft status. Nothing runs yet.
  • Not now: dismisses this single proposal.
  • Snooze 1 wk: pauses discovery messages for one week (account-wide).

Maximum one discovery message per week per account. No spam, no silent background actions.

From draft to active workflow

  • Click "Create draft" in Slack or open Automations in the dashboard.
  • The workflow appears with draft status. Review triggers, steps and required PIN capabilities.
  • Click "Activate draft". If capabilities are missing, CallMerlin helps you fix that first.
  • Only after activation can a workflow with schedule or manual trigger actually run.

Writing to external tools (Moneybird, HubSpot, Gmail, etc.) happens only when you activate a draft and the workflow actually starts. Discovery itself is read-only.

Enable in 4 steps

  • Go to Automations in the CallMerlin dashboard.
  • Turn on "Enable Discovery" (explicit opt-in).
  • Choose where the weekly message goes: Slack DM, a channel or save only without a message.
  • Connect Slack and make sure at least one Slack user has a PIN.

Without opt-in nothing happens, even on Business. Professional and Starter do not include Discovery.

Example proposals

  • Weekly Slack summary of open Moneybird invoices above €500.
  • Create a task when a HubSpot deal moves to negotiation and no follow-up is scheduled.
  • Link an alert to an existing task that already monitors the same provider.
  • Slack reminder when a case stays unclaimed for more than 48 hours.

Exact proposals depend on your connections, tasks and PIN rights. Discovery only suggests workflows feasible with your current stack.

Privacy and control

  • Proposals and past runs stay under your account in EU storage.
  • Slack context only if you choose a channel yourself, and then limited to what the proposal needs.
  • You can pause or turn off Discovery whenever you want.
  • Trial: max 2 Discovery runs across the entire trial period.

Discovery vs. building yourself

The Workflow Builder remains where you fine-tune everything. Discovery is the weekly coach that says: 'Based on what I see, this would save your team hours.' You do not have to guess where to start. You start with a filled draft and adjust what does not fit.
