CallMerlin is more than voice. Discover the nine building blocks that turn Merlin into a complete AI automation platform, from workflows to cases and operational memory.
Most people know CallMerlin as the tool that lets you control your business software via voice or chat. That is true, but it is only the front door. Behind that door is a complete AI platform that automates, monitors, hands off work and remembers context. In this article we walk you through the nine building blocks that set CallMerlin apart from a regular chatbot.
Pillar 1: AI Automation (Workflow Builder)
The Workflow Builder is the heart of automation. You build visual workflows that connect multiple systems: a trigger starts the flow, conditions determine the path, and actions do the work. No code, no developer needed.
An example: a new invoice in Moneybird exceeding 500 euros automatically triggers a task in ClickUp, a Slack notification to the finance team, and an update of the associated deal in HubSpot. Three systems, zero manual steps.
- Triggers from any connected system (new invoice, deal won, email received).
- Conditions on amount, status, date or any other field.
- Actions across multiple tools at once: create, update, send, delete.
- Continuous or one-time, with error handling and failure notifications.
The difference with Zapier or Make? Those tools connect two systems. CallMerlin orchestrates them from the same platform where you also call, chat and report. No separate automation subscription needed.
Pillar 2: AI Tasks
Tasks are recurring jobs that Merlin executes on a schedule. Think: generate a sales report every Monday, check outstanding invoices daily at 08:00, or sync new customers between HubSpot and Moneybird every hour.
The difference with a cron job or a scheduled Zap: Merlin combines results from multiple tools into a readable report, and delivers it to you via chat, email or Slack. No need to open dashboards or merge spreadsheets yourself.
- Daily, weekly or monthly schedules.
- Reports are auto-generated and delivered.
- Assign to PIN users: the sales manager gets the sales report, the bookkeeper gets the invoice check.
- Error notifications when a connected tool is unreachable.
Pillar 3: AI Insights
Insights are automatically generated KPIs and trends. Merlin analyses your connected tools weekly and flags what changed. New contacts in HubSpot, outstanding invoices in Moneybird, completed tasks in ClickUp, all compared to the previous week.
No need to open a dashboard or compare numbers. Merlin does it and presents the outliers: what went up, what went down, what deserves attention. Once a week, automatically generated.
- Week-over-week comparison for every connected source.
- Percentage changes with colour coding (green = growth, red = decline).
- Available in the dashboard and optionally by email.
- No manual configuration: as soon as you connect tools, insights appear.
Pillar 4: AI Alerts
Alerts are rules you set, after which Merlin notifies you when something changes. Proactive rather than reactive. No need to check your tools daily to see if everything is fine.
Examples: notify me when an invoice is more than 30 days overdue. Alert me when the deal pipeline drops below 10,000 euros. Send a notification when more than 5 support tickets come in per day.
- Threshold alerts (amount, count, percentage).
- Deadline alerts (invoices overdue, tasks expired).
- Combination alerts (when X and Y are both true).
- Notification via chat, email or Slack.
- Templates for common scenarios available in the dashboard.
Pillar 5: AI Memory (learned facts)
Merlin remembers short facts from conversations. If you say you always want invoices by email, or that Bakker & Sons is your most important client, Merlin keeps that for future questions. This is personal memory per PIN user, separate from operational memory (pillar 8).
The CEO sees different remembered facts than the office manager. Facts are visible and deletable in the dashboard.
- Automatic extraction of key facts from voice and chat conversations.
- Separated per user (privacy by design).
- Visible in the dashboard, deletable at any time.
- Used in future tool calls and responses.
Pillar 6: Cases
A case is ongoing work that does not disappear when the conversation ends. An angry customer, an open invoice, something for Finance: you turn it into a case, hand it off, and a colleague picks it up. That is different from a task, which is mainly a reminder or routine.
You do not need to open the dashboard. In chat or voice you can create a case, hand it to Sales or Finance, list open cases, add notes and close it. The Cases screen in the dashboard shows the same overview for managers.
- Handoff to a PIN group or one colleague, with notification in Slack or Teams.
- Store attachments on the case (EU Storage, shareable link, valid 15 minutes).
- On close: four fields for symptom, cause, fix and prevention.
- Available from Professional (including trial).
Pillar 7: Knowledge playbooks
A knowledge playbook is a stored lesson from a closed case: what happened, root cause, fix and how to prevent recurrence. Merlin searches these when someone says something does not work or an integration fails.
After closing a case, an account admin can choose Add to knowledge base or Skip. The document appears under Settings > Knowledge sources with a Playbook badge. From a new session, Merlin finds it via search.
- L1 support: search the knowledge base first, then explain; escalate with a case if needed.
- Account-wide, not per connection group.
- No silent write actions: Merlin explains what you already checked.
- Same plan as Cases: Professional or higher.
Pillar 8: Operational memory
Operational memory is what Merlin remembers about customers, companies, deals, invoices, tickets and orders that were previously read or approved via chat or voice. Not a search engine over all your files, but an execution layer that remembers what mattered for the next session.
Memory only comes from actions Merlin already performed. CRM contacts, Moneybird invoices, Trengo tickets or Shopify orders are stored when Merlin sees them. Slack, mail or Drive stay out of scope.
- Account toggle under Settings (on by default on Professional+).
- PIN permission Search operational memory via chat/voice per employee.
- Chat examples: 'What do we already know about customer Jansen?' or 'Find open Trengo tickets.'
- Starter has no org memory; Professional, Business and trial do.
Pillar 9: Workflow Discovery
Workflow Discovery is opt-in on Business, Enterprise and during trial. CallMerlin reviews weekly signals from your account (tasks, alerts, connections, insights) and suggests up to three automations in Slack. No automatic execution: Create draft prepares a workflow as draft.
You activate a draft via chat in any CallMerlin channel where your PIN is active, for example '@CallMerlin activate draft [name]'. Your PIN needs Compose workflows via chat/voice. Without opt-in, nothing happens, even on Business.
- At most one Slack message per week per account.
- Buttons per suggestion: Create draft, Not now, Snooze 1 wk.
- Enable under Automations > Enable Discovery.
- Privacy: suggestions stay in your account; external tools only after activation.
Why this is more than a chatbot
A chatbot reacts to your input. CallMerlin goes further: it automates workflows, generates reports, warns proactively, remembers facts and business context, hands work to colleagues, builds playbooks from resolved cases and suggests automations weekly. Voice and chat are the entrance, the platform is the engine.
Most building blocks are available from Professional. Workflow Discovery from Business. Try it free for 7 days.
